Privacy Policy
This privacy policy explains how Swedish Vintage VOF handles your personal information when you browse, shop, contact us or sign up for updates.
Last updated 5 October 2026
This privacy policy applies to swedish-vintage.com and its online shop. We use personal information only for the purposes described below and keep it only as long as needed or required by law.
Who is responsible for this privacy policy
The data controller is Swedish Vintage VOF (Dutch Chamber of Commerce number 87205769), trading as Swedish Vintage. Our contact address is Nieuwkuijksestraat 29, 5253 AC Nieuwkuijk, the Netherlands. For any privacy question or request, email info@swedish-vintage.com.
Information we collect
Orders and accounts. When you place an order or create an account, we process the details needed to fulfil it, such as your name, billing and delivery address, email address, order contents, delivery choice, account details and transaction status. Guest checkout is available; an account can also be created during checkout.
Contact messages. If you use our contact form, we receive your name, email address, message and, if you choose to provide it, an item name or order number.
Newsletter requests. If you enter your email address in the newsletter sign-up form, we use it to handle your request for updates about new stock. You can ask us to stop at any time.
Website and device information. Our hosting, security and site tools may process technical information such as IP address, browser/device details, pages visited and cookie identifiers. We also use Jetpack Stats for site statistics and Meta Pixel for advertising measurement and marketing.
Why we use it
We use order details to accept and fulfil your purchase, arrange delivery, provide customer service and meet tax and bookkeeping duties. We use contact details to answer questions and resolve order issues. We use newsletter sign-up details to provide the updates requested. Technical data helps operate and protect the site, understand site use and measure advertising. Depending on the purpose, the legal basis is performing a contract, complying with a legal obligation, your consent, or our legitimate interest in running and improving the shop.
Payments, delivery and service providers
Payments are handled by the payment method you select. The site currently offers WooPayments, PayPal and cash on pickup. Payment providers receive the information needed to process the transaction under their own privacy terms. We receive order and payment status, not your full card details. We share the delivery details needed with the carrier or fulfilment provider chosen for your order.
Our website also relies on hosting and site providers, including SiteGround, WordPress/WooCommerce and Contact Form 7. Contact and newsletter form submissions are delivered to our store email inbox. Jetpack (Automattic) provides site statistics; Meta Pixel supports advertising measurement. These providers may process information on our behalf or under their own privacy terms.
Cookies and similar technologies
Some cookies are needed for core shop features such as the cart, checkout, account login and site security. Jetpack Stats and Meta Pixel may use cookies or similar technologies to measure visits and advertising. Non-essential analytics or advertising technologies should only be used where the required permission has been given. You can manage cookies in your browser and, where available, through the site’s cookie settings. Blocking essential cookies may affect shop features.
How long we keep information
We keep order and accounting records for the periods required by tax law. In the Netherlands, core business records are generally kept for at least seven years; certain EU VAT records can require ten years. We keep enquiries and newsletter preferences only as long as needed to respond or provide the requested updates, unless a longer period is required to resolve a dispute or meet a legal duty.
Current store setting: WooCommerce does not currently have an automatic deletion period configured for order and account records. This means those records may remain in the shop system until they are reviewed and removed. We are reviewing this setting so retention better reflects the periods and purposes described above.
Your choices and rights
Depending on your situation, you can ask to access, correct, delete, restrict or receive a copy of your personal information, or object to certain processing. You can withdraw consent at any time; this does not affect processing that took place before withdrawal. To make a request, email info@swedish-vintage.com. We may need to verify your identity before responding. Some records must be kept to meet legal obligations.
You may also lodge a complaint with the Dutch Data Protection Authority.
International processing and updates
Some service providers may process data outside the European Economic Area. Where data is transferred internationally, the transfer must use a mechanism permitted by data protection law. We may update this notice when our services or data practices change; the latest version will be published on this page.
